Generative artificial intelligence has entered businesses at unprecedented speed. Many employees already use it, sometimes without any framework. Used well, it frees up valuable time; poorly managed, it exposes your data and produces unreliable results. Here are five steps to get started with confidence.
1. Start from your problems, not from the tool
Instead of asking “what can AI do?”, ask “where are we losing time?”. Writing meeting notes, answering recurring questions, summarizing long documents, preparing sales proposals: pick two or three concrete use cases whose benefits are easy to measure.
2. Put your data and access rights in order
An assistant such as Microsoft 365 Copilot only accesses information the user can already see. That is reassuring… provided access rights are properly set. Folders shared too widely suddenly become very easy to find. Before any rollout, review your sharing settings and how your sensitive documents are classified.
3. Start small, measure, then scale
Run a pilot with a volunteer team for a few weeks. Measure the time saved, the quality of the results and user satisfaction. You can then decide, based on facts, whether to extend it to other teams.
4. Train your teams
AI does not replace judgment: it demands it. Train your employees to write precise prompts, to check results systematically and to recognize the tool’s limits. One well-designed hour of training radically changes how people use it.
5. Set clear usage guidelines
Which data can be shared with an AI tool, and which never? Which tools are approved? Who reviews AI-assisted content before it is published? A short, clear policy protects the company and reassures your teams.
